Description:

  • Background:

Invest Turks and Caicos is seeking an experienced Information Technology Consultant to review and transform and oversee the implementation of changes to our current Customer Relationship Management (CRM) system. Our current CRM system presents several challenges, including data silos, decentralized customer data, manual data management, and ineffective customer segmentation.

  • Objective:

The primary objective of this consultancy is to thoroughly assess our current CRM system, identify areas for improvement, provide actionable recommendations, and implement a transformation plan that addresses the identified challenges to optimize the system to better meet organizational needs.

  • Scope of Work:

The consultant will be responsible for the following tasks:

  1. Review the existing CRM system, conducting a SWOT analysis and evaluating its performance against industry benchmarks.
  2. Engage with key stakeholders (management, sales, marketing, customer service, IT) to gather insights and validate challenges through interviews, surveys, and workshops.
  3. Analyze the system’s technical and functional capabilities, comparing it with other leading CRM solutions.
  4. Provide detailed recommendations, including potential upgrades, customizations, or a complete overhaul.
  5. Oversee the implementation of recommendations, covering:
    • Data migration strategies for smooth transitions.
    • Staff training and change management for effective adoption.
    • Post-implementation support to ensure operational efficiency.
  6. Develop an implementation roadmap with timelines, resources, and cost estimates.
  7. Assist in selecting new CRM software, if necessary, and provide ongoing consultation throughout the process to ensure full integration into workflows.
  • Reporting:
  • Prepare and present a comprehensive report detailing findings, recommendations, and the proposed implementation plan.
  • Provide regular updates to the project team and key stakeholders throughout the assessment and implementation phases.
  • Deliverables:
  • Inception Report: Detailed project plan and methodology within two weeks of commencement.
  • Assessment Report: Comprehensive analysis of the current CRM system and identified challenges.
  • Recommendations and Implementation Plan: Detailed recommendations and roadmap for system improvements and their execution.
  • Final Report: Consolidated report including all findings, recommendations, and the implementation plan.
  • Duration:

The consultancy, including both assessment and implementation, is expected to be completed within 2–4 months from the commencement date. The assessment will be completed in the first two months, followed by implementation and monitoring over the remaining time.

  • Qualifications and Experience:
  • Proven experience in CRM system assessment and implementation.
  • Strong understanding of CRM best practices and industry standards.
  • Experience with leading CRM platforms (e.g., Salesforce, Microsoft Dynamics, HubSpot).
  • Demonstrated ability to successfully lead and execute CRM system transformations.
  • Excellent analytical, problem-solving, and communication skills.
  • Ability to engage effectively with stakeholders at all levels.
  • Application Process:

Interested consultants are invited to submit their proposals, including:

  • Cover letter explaining their eligibility for the assignment and interpretation of the tasks.
  • A detailed methodology and work plan.
  • Relevant experience and qualifications.
  • Proposed budget and fee structure.
  • At least three (3) references from previous clients.

Consultants may request clarification of any of the RFP documents only up to three [3] days before the proposal submission date. Any request for clarification must be sent in via electronic mail. The Agency will respond by the same medium and will send written copies of the response (including an explanation of the query but without identifying the source of inquiry) to all invited consultants who intend to submit proposals.

All proposals must be submitted to admin@investturksandcaicos.tc on or before November 15th, 2024.
