Job Title:             Administrative Officer

Reporting to:     Corporate Services Manager

Location:             Providenciales

Job Summary:

The Administrative Officer is responsible for the provision of clerical/administrative support services to the Agency. The Administrative Officer conducts office support functions, assists the Investor Services efforts at investor facilitation, undertakes certain elementary accounting and provides clerical support.

Key Duties and Responsibilities:

1. Office Support Functions include:

  • To maintain up to date office supplies and equipment inventories.
  • To purchase of goods and services for the effective operation of the office
  • To ensure the proper maintenance including preventive, maintenance of the Agency’s property and vehicles

2.   Investor Services support functions include:

  • To provide information to potential investors by answering questions and requests.
  • To research for information and provide typing support as required.
  • To maintain an up-to-date project data base and filing system,
  • To scan and file project documents,
  • To create project files for circulation to Departments
  • To draft correspondence for investors and for circulating materials to Departments

3.   Accounting and Clerical functions include:

  • To prepare purchase orders
  • To create excel database for payment of invoices.
  • To reconcile and post invoices.
  • To assist with bookkeeping/accounting functions as appropriate
  • To input materials into HR data base
  • To answer, screen and transfer inbound telephone calls.
  • To receive and direct visitors and clients
  • To assist with the organization of Agency meetings

4. MSME:

  1. Ensure MSME applications and brochures are available for collection Maintain proper records of all fees collected and deposits
  2. Answer to application queries when necessary
  3. Daily checks for online MSME applications and disseminate accordingly Assist SME VP with appointments when necessary.

5.  Petty Cash:

  1. Manage the daily petty cash transactions
  2. Ensure petty cash reconciliations are done monthly
  3. Keep proper records and receipts of all payments
  4. Ensure petty cash fees are properly secured daily

6.   Due Diligence:

  1. Assist with the documentations and process of all due diligence applications

Undertaking any other relevant activities or duties as required by the CEO.

PERSONAL SPECIFICATIONS

Education and qualifications:

The position requires a minimum of a High School Diploma, but preference will be given to those persons with an associate degree or its equivalent. The incumbent should also have some formal training in telephone call management, analysis and writing, use of bookkeeping software such as Quicken or QuickBooks and information technology (Microsoft Office).

Experience and Knowledge:

The position requires a minimum of three (3) years on the job experience to acquire the competencies necessary to meet the challenges of the functions. The experience should cover:

  • Secretarial/Writing skills
  • Information technology Expertise
  • Administrative support
  • Communication Skills
  • Human relations Skills
