Job Title: Investment Facilitation and Aftercare Officer

Job Summary
The Investment Facilitation and Aftercare Officer provides technical and administrative support to the Investor Facilitation and Aftercare Unit, assisting with investor pipeline tracking, project documentation, database management, stakeholder liaison and the timely procession of investment proposals. A key function of the role is maintaining the CRM and related data systems to ensure that investor records, project updates, correspondence, follow-up actions, and reporting inputs are accurate, complete, and current. The Officer supports the Investor Services Executives and Deputy Chief Executive Officer in coordinating facilitation and aftercare activities, including maintaining accurate records and supporting compliance-related reporting. This role is designed as an entry-level pathway into investor facilitation or aftercare, with a focus on building technical expertise and supporting career progression.
Key Duties and Responsibilities
Investor Facilitation and Aftercare Support
- Support Investor Services Executives in reviewing investor proposals, gathering supporting documents, and maintaining complete project files.
- Prepare draft correspondence, meeting notes, and briefing materials for internal and external stakeholders.
- Support investor liaison activities by responding to initial queries and scheduling consultations and tracking follow up actions.
- Maintain up-to-date records of investor leads, project status, key dates and correspondence in the CRM/project database.
- Support the Investment Services Unit in maintaining accurate records for active investor portfolios.
Compliance & Monitoring Support
- Assist the Monitoring & Compliance Officer in tracking Development Agreement obligations and updating dashboards.
- Help maintain compliance registers for investor projects.
- Conduct basic data collection during site visits and prepare draft reports for review.
Research & Data Management
- Conduct background research on investor prospects, industry trends, and sector opportunities to support project assessments.
- Maintain data systems and generate summary reports for management.
- Support the preparation of data inputs for quarterly and annual investor services reporting.
Cross-Unit Collaboration
- Liaise with the Marketing & Research & Promotions team to ensure accurate pipeline updates for promotional and reporting purposes.
- Work with the Monitoring and Compliance function to ensure compliance-related data and evidence are accurately captured and recorded.
Other Duties
- Provide general administrative and technical support to the Investment Services Unit.
- Undertake any other related activities as required by the Deputy Chief Executive Officer and Investor Services Executives or other authorized officers.
Key Deliverables
- Complete and audit-ready project files: Standard file checklist applied with proposal files kept complete, organized and audit-ready including correspondence, forms, stakeholder inputs, document versions.
- Accurate CRM/database records: Pipeline and portfolio records updated consistently including status, key dates, contact history, actions and decisions to support accurate reporting.
- Timely investor services support: Meeting schedules, briefs, agendas, minutes, and follow-up action notes prepared and filed on time to support facilitation and aftercare delivery.
- Research and briefing notes: Background research on prospects, sectors and projects completed and summarized into short briefs as assigned.
- Reporting inputs delivered: Monthly and quarterly statistical inputs and draft summaries prepared to support Investor Services reporting and dashboards.
- Compliance data and evidence captured: Site-visit data, supporting documents and evidence captured using agreed templates and recorded in the compliance tracking system as directed without making compliance determinations.
- Correspondence and stakeholder follow-up tracked: Draft emails and letters prepared, stakeholder requests logged, and follow-ups tracked to support timely resolution of investor and portfolio matters.
- Templates, checklists, and logs maintained: Templates, checklists, and logs maintained including issues log, milestone tracker, action trackers, to support unit service standards and reporting discipline..
Personal Specifications
Education and Qualifications
- Bachelor’s degree in business, Economics, International Relations, or a related field.
- Relevant experience in administration, finance, or investment promotion or client support would be considered an asset.
- Training or practical exposure in CRM systems, records management, project administration, or reporting tools would be an advantage.
Experience and Knowledge
- Experience supporting administrative processes, document control and maintaining accurate records and databases.
- Experience preparing draft correspondence, meeting notes and basic briefing materials to support client-facing work.
- Working knowledge of CRM/database tools and the importance of data discipline for pipeline reporting and portfolio tracking.
- Understanding of confidentiality requirements and proper handling of sensitive investor information.
- Familiarity with compliance evidence capture requirements (templates/checklists), with the understanding that compliance assessments and enforcement decisions are made by Monitoring & Compliance.
- Basic understanding of investment facilitation, aftercare, economic development, or client service environments would be an asset.

- Proficiency in MS Word, Excel, PowerPoint, Outlook and database/CRM tools .
- Good written and verbal communication skills.
- Detailed-oriented with strong organizational skills with the ability to handle multiple tasks and deadlines.
- Ability to collect and record compliance-related data/evidence using agreed templates, without making compliance determinations.
- Ability to maintain accurate project files, CRM updates, logs, and trackers in support of unit reporting and service standards.

Other Requirements
- Fluent English. Additional language skills a plus.
- Willingness to support site visits, stakeholder meetings and occasional work outside normal office hours, as required.
